Once your event has taken place, the final event invoice will be available. It provides a clear overview of all revenue and expenses related to your event.
As soon as Eventfrog initiates the payout of your income, you will also receive an automatic notification with a direct link to your event invoice. You can download it as a PDF.
Overview:
How to access your event invoices in the cockpit
To view your event invoices yourself, open the organiser cockpit. Then go to «Analytics». Here you can see important data about your event at a glance. If you now click on «Show invoices», you can view all available event invoices.
Filter options at a glance
To ensure your analysis includes exactly the events that are relevant to you, you can define various filters in the invoice and statistics view. These filters help you narrow down the results – for example by role, event selection, time period or other criteria explained below.
1. Perform analysis as
Select whether the analysis should be carried out from the perspective of an event organiser / event manager or a box office.
Depending on the role, the available data and results will change.
2. Selection mode
Define which events should be included in the analysis:
- All events
- Only selected events
- All except selected events
This allows you to include specific events or deliberately exclude them.
3. Further limit the selection
Using the From and To fields, you can limit the analysis to events that start within a specific time period.
Only events whose start date falls within the selected period will be included.
4. Add filters
Under «Add filter», you can also filter the search by sales channel, payment method and income type.
5. Apply filters
Click «Apply filters» to update the analysis with your selected settings.
Click «Back» to leave the filter view without making changes.
You can now «Export all results» or download the event invoices for individual events here.
What does my event invoice look like?
The event invoice contains all important information about you, your event, your income and your expenses.
In the upper section (header), you will find your event organiser address.
This is followed by the event with its start date.
In the next section, your ticket revenue is listed per category. It shows the category name, the price per ticket, the number of tickets sold, the revenue per category and the total revenue from ticket sales.
Below that, your expenses for services are listed, for example the use of the paid Plus or Pro event package (plus VAT).
Under «Summary», revenue and expenses are offset so you can see the amount that was transferred to you.
Below the summary, you can also see when the payout was released.
Purchase receipt for ticket buyers
If you store a VAT ID in your event organiser account, ticket buyers will receive a purchase receipt that they can download in the cockpit.
