What configuration options do I have with Eventfrog Cashless?

With Eventfrog Cashless, you can accept cashless payments directly at your event. 

Download the Cashless app and you are ready to go straight away – all other settings are optional and can be added at any time.

Where can I find Cashless in the Cockpit?

Log in to your Eventfrog Cockpit. In the main menu on the left-hand side, you will find the section «On-site cash desk». This section is only visible if you have the event organiser role. This is where you manage all settings relating to Eventfrog Cashless.

Activate Cashless for an event

You can activate Eventfrog Cashless in two ways:

  1. Directly in the Eventfrog Cashless app when you open it for the first time.
  2. In the Cockpit: open the event you want, activate the Cashless feature and save your settings.

Create product categories

Product categories help you structure your sales – for example by drinks, food or merchandise.

How to create a category:

  1. Open the menu item «Product categories» in the «On-site sales» section
  2. Click «Create category»
  3. Enter a name, define the VAT rate and choose a colour
  4. Save the category

Good to know: The categories Drinks, Food, Merchandise and Admission / ticket are already preconfigured and available straight away.

Add products

Products are the individual items you sell at your event, for example beer, water, chips, T-shirts or cloakroom tokens.

How to create a product:

  1. Open the menu item «Products» in the «On-site sales» section
  2. Click «Create product»
  3. Enter a name
  4. Select the appropriate category
  5. Add the price including VAT
  6. Optionally upload an image
  7. Save the product

You need at least one active product category before you can create a product.

Example: In the product category «Drinks», you create the products «Beer», «Water» and «Cola». In the product category «Merchandise», you create, for example, «T-shirt» and «Sticker».

Define assortments

With assortments, you bundle products and/or product categories so that you can assign them to specific points of sale.

How to create a product range:

  1. Open the menu item «Product ranges»
  2. Click «Create product range»
  3. Enter a name
  4. Assign individual products or entire product categories
  5. Save the product range

Good to know: The pre-created product range «Entire product range» is available automatically. For a festival, you can create a «Bar» product range with drinks, a «Food» product range with food and a «Merch» product range with T-shirts and stickers.

Create sales points

Sales points represent the actual places where sales are made at your event, for example a bar, cloakroom or merchandise stand.

How to create a point of sale:

  1. Open the menu item «Points of sale»
  2. Click «Create point of sale»
  3. Enter a name
  4. Select the assortment you want
  5. Define whether the tip prompt should be displayed
  6. Assign the point of sale to the event you want
  7. Save the point of sale

Configure tips

You can define whether and how tips are requested.

How to set up tip options:

  1. Open the menu item «Tips»
  2. Choose between optimised tip options or your own options
  3. If you define your own options, you can set fixed amounts or percentages
  4. Save your settings

If the tip prompt is active, «No tip» and «Custom amount» are displayed automatically.

Take payments at the event

At your event, you use the Cashless app to accept payments.

How it works on site:

  1. Open the Cashless app on a smartphone with an internet connection
  2. Select the appropriate point of sale
  3. Optionally select the products you want or start directly without products.
  4. Let visitors pay cashlessly
  5. Optionally, a receipt can be downloaded or sent by email

You can use as many devices as you like in parallel.
